Cumberland Curling Club Refund Policy

The Cumberland Curling Club is a not-for-profit organization relying on membership fees to fund seasonal operations. We understand unforeseen circumstances arise and handle refunds according to the guidelines below.

1. Core Rules & Fees

  • Administration Fee: All member-initiated refunds are subject to a $25 administration fee.

  • Association Fees: CurlON and OVCA fees are non-refundable unless a withdrawal is requested before the fall registration deadline.

  • Minimum Limit: Refund calculations resulting in a net payout of less than $50 will not be considered.

  • Late Fees: Any late fees applied during registration are entirely non-refundable.

2. General League Withdrawals & Cancellations

  • Cancellation by the Club: If the Club cancels a league before the season starts, members receive a full refund or a transfer to an open league. If cancelled after opening day, partial refunds are issued at the Board’s financial discretion (no admin fee applies).

  • Member Withdrawal Before Deadlines: 100% league refunds (minus the $25 admin fee) are given if requested before the registration deadline. Requests made after the deadline but before opening day are subject to non-refundable association fees.

  • Member Withdrawal After Opening Day: Refund requests submitted on or after opening day are only considered for exceptional circumstances (season-ending injury, major personal/family illness, or sudden work relocation). Snowbirds registered for the second half must request a refund before January 1.

The Refund Formula

Approved mid-season refunds are calculated using the date of your written request:

Refund = [(Weeks Remaining ÷ Total Weeks in Season) × Total Fees Paid](Association Fees + $25 Admin Fee)

3. Limited Programs (Adult Learn-to-Curl & Youth Rocks)

Because these are high-demand, progressive instructional programs, they follow a strict withdrawal timeline:

  • 14+ Days Before First Lesson: Full refund (minus the $25 admin fee).

  • 1 to 13 Days Before First Lesson: 50% refund (minus association and admin fees).

  • On or After Day of First Lesson: Refund requests are considered under exceptional circumstances only. If approved, they may be issued as a prorated refund or a future credit.

How to Request a Refund

All requests must be submitted in writing to the Membership Director at This email address is being protected from spambots. You need JavaScript enabled to view it. as soon as you become aware of your inability to play. Please include detailed context to assist the Refund Committee (Composed of President, Treasurer, Membership Director, Match Director and Daytime Director). Approved payouts will be processed and communicated within 30 calendar days. All decisions by the Board of Directors are final.
