Cumberland Curling Club Refund Policy

Cumberland Curling Club (“the Club”) is a not-for-profit organization that relies on membership fees as its primary source of revenue to fund its operations each year. The Club also recognizes that unforeseen circumstances can affect a person’s ability to curl. The Club’s policy for refunds is outlined below. 

  1. All refunds are subject to a $25 administration fee except in cases where the refund is a result of league or program cancellation by the Club.
  2. Association fees (Ottawa Valley Curling Association [OVCA] and CurlON) are non-refundable except in cases where the refund is initiated prior to the fall registration deadline.
  3. Refund requests where late fees were applied will not consider late fee reimbursement.
  4. Refund requests resulting in a potential refund of less than $50 will not be considered.
  5. If a league is cancelled before the curling season begins, the member’s preference for a full refund, or enrollment in another available league during the same season, will be honoured. 
  6. If a league is cancelled after the season begins, the Board of Directors (“the Board”) will endeavor to refund a portion of the member’s fees based on cost savings and the overall financial position of the Club. 
  7. If a member requests a refund before the registration deadline as specified on the Club’s website, a full refund will be issued, subject to the administration fee. 
  8. If a member requests a refund after the registration deadline, but before the Club’s opening day as specified on the Club’s website, a full refund will be issued, subject to any association fees and the administration fee.
  9. Refund requests received on or after the Club’s opening day will be considered only in the following circumstances: 
    1. The member experiences a season ending injury, defined as an injury that would remove the member from further play for the balance of the season and the playoffs.
    2. The member experiences health concerns or illness themselves or by their immediate family that would remove the member from further play for the balance of the season and the playoffs.
    3. The member experiences relocation outside of the area due to work.
    4. The member is a “Snowbird” who is registered to play for the second half of the season and requests a refund prior to January 1.
  10. Any requests for a refund should be communicated to the Membership Director (This email address is being protected from spambots. You need JavaScript enabled to view it.) in writing, preferably by email, as soon as the member becomes aware that they will not be able to participate in curling activities over an extended period during the curling season. The request should clearly state the reason for the request with sufficient detail to assess against the criteria above. The date of the written request will be used to determine any prorated refunds. 
  11. The request for refund will be reviewed by the Refund Committee, composed of the President, the Treasurer, the Membership Director, the Match Director, and the Daytime Director. The Refund Committee will present their recommendation to the Board of Directors for final review and approval. A decision will be clearly communicated to the member within 30 calendar days of the written refund request. 
  12. The decision of the Board of Directors is final. 
  13. Eligible refunds will be calculated according to the following refund formula:

Refund = ((number of weeks remaining/total weeks in season)*Total Fees paid)-(Association Fees+Administration Fee)

  1. Adult Learn-to-Curl and Youth (Junior and Little Rocks) programs are high-demand programs with progressive instruction. If withdrawal occurs at least 14 calendar days prior to the first lesson, a full refund will be granted, subject to the administration fee. If withdrawal occurs at least 1 day prior to the lesson but no more than 13 days before the first lesson, a 50% refund will be granted, subject to association fees and the administration fee. Refunds thereafter will be considered in exceptional circumstances only, as reviewed by the Refund Committee, and will be calculated according to the refund formula, where the season is defined as the number of weeks in the respective program. If appropriate, the refund may be offered in the form of a credit for future participation.

Cumberland Curling Club is committed to collecting, using, and disclosing personal information responsibly and to maintaining the accuracy, confidentiality, and security of such personal information.

Personal information includes, but is not limited to, information that indicates specifically who you are, such as your address, telephone number, and email address.

This privacy policy guides how personal information is collected, used, and disclosed about Cumberland Curling Club members and prospective members. The Club’s intent is to balance legitimate business interests in collecting, using, and disclosing personal information against reasonable expectations of privacy.

1. Definitions

  • "Business" means the business of operating the Cumberland Curling Club which includes the website;
  • "Membership" means a membership in the Cumberland Curling Club;

The Club may use the personal information collected to:

  • ensure the provision of high-quality membership services;
  • inform about online and offline offers, membership services, updates, and events (including expiry and renewal of your Membership);
  • establish and maintain communication;
  • assist in complying with legal and regulatory requirements;
  • invoice for products and/or services;
  • collect unpaid accounts;
  • enable a corporate reorganization, a merger, or acquisition with another entity;
  • provide information concerning the business operation of the Club.

The Club may also use personal information as may be described at the time of collection. The Club may compare and review personal information for errors and omissions and for accuracy. If you choose to provide your financial information, the Club may use your address and financial information to bill you and to provide associated support. The Club may use personal information about you, in a non-personally identifiable manner, to improve marketing and promotional efforts, analyze Memberships, improve the content and product offerings, and customize website content, layout, and services. These uses are to improve the business and to better tailor the business to meet your needs.

4. Disclosure of Personal Information

As a matter of policy, the Club does not sell, rent, or lease any personal information to third parties without explicit consent. However, there are a variety of circumstances where the Club may need to disclose some personal information, including the following:

  • Disclosure of personal information to an individual who, in reasonable judgment, is seeking the information as your agent. For example, the Club may provide your personal information to your legal representative if the Club is satisfied that the individual is requesting the information on your behalf.
  • Disclosure of personal information as may be required by law.
  • The Club may aggregate personal information and disclose such information in a non-personally identifiable manner to advertisers and other third parties for marketing and promotional purposes.

5. Control of Your Password

You are responsible for all actions taken with any user ID and/or password used to access the website. Therefore, the Club recommends that you not disclose your password to any third parties. If you choose to share your user ID, your password, or your personal information with a third party, you are responsible for all actions resulting therefrom. If you lose control of your password, you may lose substantial control over certain personal information. Therefore, if your password has been compromised for any reason, you should immediately change your password.

6. Access, Review, Change, and Destruction of Your Personal Information

You may access, review and/or change the personal information in Club files by submitting a written request to do so to the address below. Promptly advise the Club of any changes to your information. Upon your written request, the Club will destroy, as soon as reasonably possible and in accordance with internal policies and applicable law, any and all personal information in Club files about you. Notwithstanding the foregoing, the Club will retain in Club files some personal information in order to enable the Club to collect any unpaid accounts and/or as may be required by law.

7. Other Information Collectors

Except as otherwise expressly included in this Privacy Policy, this document only addresses the collection, use, and disclosure of personal information collected from and about you. To the extent that you disclose your personal information to other parties, different rules may apply to their collection, use, or disclosure of such personal information. Since the Club does not control the privacy policies of third parties, you are subject to the privacy policies of such third parties.

8. Protecting Your Privacy

The personal information that is retained by the Club is kept in a secure environment and reasonable procedural and technical safeguards are used to protect your personal information against loss, theft, and unauthorized access or disclosure. While many different security techniques are used to protect such data from unauthorized access by users inside and outside the Club, the Club cannot ensure perfect security, particularly in relation to the website.

9. Amendments to This Policy

The Club may amend this policy at any time by mailing (including regular mail and email) any amended terms to you or by posting the amended terms on the website or at the Cumberland Curling Club (935 Cameron St, Cumberland, ON). All amended terms are automatically effective five days (5) days after mailing or on the date of posting.

About The Club

Cumberland Curling Club has brought together local residents to enjoy curling since 1946 - over 75 years!

Our two-sheet rink typically welcomes around 150 members per season from Cumberland, Rockland, Orleans, and surrounding areas. Learn-to-Curl is a popular program for introduction to the sport. We also regularly host private events.
